With the ever-increasing problem of junk email and viruses, using your email effectively has become a problem. Here are some tips and suggestions that can help you in handling your email better and reducing junk email!

TIP#1 - You can reduce junk email dramatically by setting your "default" or "catch-all" email account to 'bounce default email' by configuring your mail server. What this means is that all emails sent to addresses at your domain name that do not have a specific email box setup will be bounced instead of being forwarded to one of your existing email boxes. This will reduce about 60-80% of junk email entering your domain.

TIP#2 - If you do not check your email boxes regularly junk email and Spam can overflow your account disk space limit causing your email service to stop and not be able to receive any more legitimate emails. To make sure that you are checking all your email boxes at the server, check your server mail folder and inside you will see files associated with each email box, if the size of the files are large, that means that there are emails in that box that need to be downloaded or deleted.

TIP#3 - Once you setup an email box at your domain to forward to an outside email address, make sure to "unselect" the option to store email on the server in your mail manager, otherwise this will cause duplicate emails to be saved on the server causing your disk space usage to go up.

TIP #4 - Install a server side Spam filtering tool - and use it effectively to reduce junk email. This can be a powerful tool provided that you configure and use it effectively. Ask your web host if they have a server-side Spam filter for you to use, this is an important tool to consider.

TIP#5 - Install a server side Virus Protection - to stop virus attachments from entering your email box and infecting your system. This can also be an important tool to consider when selecting a web hosting provider.

TIP#6 - Use The Secure Socket Layer encryption protocol to download your email through an SSL server, so that no one can intercept and read your emails while being downloaded.

TIP#8 - Use forms on your website instead of a simple email link for your visitors to contact you. That way the email harvester robots cannot pickup your email address from your website to be added to junk email lists.

Finally, make sure that you do not give out your email to online websites claiming of giving away free stuff unless you are aware of the company and know who they are, most of these websites simply sell your information to email lists.
